Faculty, staff and students with current
CUIMC email accounts can use free cloud storage via Microsoft's OneDrive for Business.
OneDrive for Business offers:
- Space: 1TB of storage space, separate from the 100GB storage per CUIMC email account. NOTE: Individual file size limit is 100 GB.
- HIPAA: CUIMC has the required BAA with Microsoft, allowing PHI, PII, and other sensitive and confidential data to be kept in OneDrive.
- Sync: Easy synchronization and access to OneDrive files across your computers and devices, including Macs, iOS, and Android.
- Sharing: Files can be shared with others who have a CUIMC Microsoft 365 email account.
- Restore Files: A user-managed recycle bin holds deleted files for 90 days. You can easily restore a deleted or older version of a file as long as it is still in the recycle bin.
- Editing and Saving: Collaborative editing options that can save in real time.
User Responsibilities
Review all information on this page before using your OneDrive for Business account. Some features are not compatible at CUIMC and may cause issues if not used as intended.
- Support: OneDrive is a Microsoft service, designed to be user-managed. See Microsoft's OneDrive system requirements for compatibility information. For support other than instructions on the CUIMC IT website, please contact your CITG staff.
- Intended Use: Files stored in OneDrive are private by default, with sharing and syncing managed only by the individual. It is not intended to replace departmental network drives, SharePoint, or other solutions that provide centralized permissions, ongoing collaboration, document workflow, and access that is best managed by team leads, DAs, CITGs, etc.
- Access Auditing: Files shared or synced on multiple devices cannot be tracked or revoked by CUIMC IT. Users are solely responsible for security and regulatory compliance when sharing or synchronizing files.
- Recovery: Items deleted from the recycle bin cannot be recovered! CUIMC IT cannot restore deleted files.
- File Ownership: If the account holder leaves CUIMC, the process to access to their OneDrive files is the same as the process for email and network drive data.
- Allowed Files: Please see Microsoft's pages on file types and file names that are not allowed or may cause issues. Users must follow all copyright law.
OneDrive for Business Accounts
Those with a current CUIMC Microsoft 365 email account receive automatic access. If your email account was just created, it may take up to one business day before you will be able to access your OneDrive for Business space. Note that if you will use OneDrive or your CUIMC email from off campus, you must also have CUIMC Duo multi-factor authentication set up to use when signing in.
