Avaya VoIP Phone Quick Reference Guide


The following quick reference guide will get you started with Avaya VoIP telephones used at CUIMC.

VoIP phone

Log In

  1. Enter your 7 digit telephone at the user name prompt
  2. Press the soft key directly under the Ok prompt
  3. Enter your password
  4. Press the soft key directly under the Ok prompt
  5. You should see the screen similar to the one in the above diagram

Log Off (Optional)

  1. Press the soft key directly under the Menu prompt
  2. Select 1 Logoff
  3. You will be asked to select Yes or No
  4. Hit the appropriate soft key under the No prompt

VoIP Display Screens

Once you have properly logged in with your username and password information you will see the screen that is similar to the one in the above diagram.   Use the up directional arrow in the center of the telephone to paginate through feature / extension screens 1 -3 .

Answering a Call

Each incoming call causes the IP Phone to ring, the LCD indicator beside the line key to flash, and the Message Indicator lamp to flash.  Choose one of the following options:

Making a Call - Off Hook Dialing

Use these steps to make a call by lifting the handset before dialing

  1. Lift the handset
  2. Dial the number

Making a Call - On Hook Dialing

Use these steps to make a call by dialing before lifting the handset

  1. Leave the handset in the cradle
  2. Press the line Key Line key on VoIP phone
  3. Dial the extension           
  4. When the called party answers, lift the handset
  5. To terminate the call, either replace the handset in the cradle or press the Goodbye key  Goodbye key

Making a Call - Hands Free Dialing

  1. Hands free key  Press the handsfree key OR if the headset is connected, press the headset key:  Headset key
  2. Dial the number

Terminating a Hands Free Call

Either return the handset to the cradle or press the Goodbye key:  Goodbye key

Making a Call - Switching from Handset Mode to Hands Free Mode

  1. Lift the handset
  2. Press the handsfree key:  Hands free key
  3. Replace the handset

To switch from hands free to headset, press the headset key.

Call Transfer

This allows for the redirecting of calls to another party.

  1. While on a call, press the transfer key:   Transfer key  The other party is placed on hold.
  2. Dial the extension to which the original call is to be transferred.
  3. When the phone rings or if the called party answers, press the transfer key again to connect the called party.

Placing a Call on Hold

To place an active call on hold, press the hold key  Hold key

When a second call is coming in the first call can be automatically placed on hold by answering the second call.


Call Forwarding - Activation and Deactivation

To forward calls, press the call forward key, dial the forwarding number, then press the forward key again. 

To deactivate call forwarding press the forward key.

Conference Calling (6 Way)

You can set up a conference call for up to 6 parties including yourself.

  1. While on an active call press the system defined conference key
  2. Dial the number of the person to be added to the conference call
  3. Press system defined conference key again to merge the call
  4. Repeat the process to add additional parties to the conference

Last Number Redial

  1. Press the # sign twice
  2. Press Soft Key under Ok

Message

Allows for automatic dial into voice mail system to retrieve messages.

Press the system defined message key. 

Selecting Ring Tones and Adjusting the Volume

  1. From the main menu, select and open Audio
  2. Scroll through the menu and Select Play Ring Patterns
  3. To hear a ring tone before you select it, select a ring tone from the list and press Play
  4. Press Stop to stop the ring tone from playing
  5. To select a ring tone, press Apply.
  6. To adjust the volume, press the volume keys while the phone is ringing

Dialing from the Directory

  1. Make sure the Handset is in the cradle position
  2. Press the Directory key which will display a list of stored entries.
  3. Select a number from the list
  4. Press Ok.  A list of options appear
  5. Press Ok again to access option 1 to Dial

Adding or Editing a Directory Entry (16 Entries)

  1. Press the Directory key to access the directory menu
  2. Perform one of these actions:
    • If this is a new entry, press Ok
    • If you are editing an existing entry, navigate through the list to select the entry and press the Ok key
  3. From the Directory menu, select and open New Entry
  4. To add or edit the number, perform these steps:
    1. From the New Entry menu, select an open Number
    2. Use the dial-pad to enter the number
    3. Press Ok

Viewing Inbox Call Information

  1. Press the Inbox key  ( the 10 most recent incoming calls appear )
  2. Select a number from the list
  3. Press Ok.  The Dial screen appears
  4. Press the down navigation key
  5. Select Display.  The Display screen appears
  6. Press the down navigation key to view the information including time of call

Using the Outbox to Make a Call

  1. Make sure the handset is in the cradle position
  2. Press the Outbox key  ( the 10 most recent outgoing calls appear )
  3. Select the number you want to dial
  4. Press Ok
  5. Select Dial

Storing a Number from the Outbox

  1. Press the Outbox key  ( the 10 most recent outgoing calls appear )
  2. Select a number from the list
  3. Press Ok
  4. Press the down navigation key to select Store
