Microsoft Whiteboard


Whiteboard is a collaborative digital canvas that is included with CUIMC's site license for Microsoft 365 Apps. It lets anyone with a current CUIMC email/Microsoft 365 account work together on topics of discussion via a familiar, easy to use visual app that is compatible on almost any internet-connected device or computer, as well as compatible conference room equipment.

Access Whiteboard

Whiteboard can be used from a web-based portal, installed as an app on Windows, iOS, and Android devices, and is integrated with Teams and Surface Hub conference room devices. If Whiteboard is already installed on your computer or device, you can click the profile icon to verify you are signed in with your CUIMC email account, or switch (sign out) to your CUIMC email account. If you are off campus you will also see a prompt to use Duo for multifactor authentication. Whiteboards can only be shared with others who have a CUIMC email/Microsoft 365 account.

Whiteboard Web

From any internet-connected computer or device simply go to https://whiteboard.microsoft.com and sign in with your CUIMC email account and password. Most current web browsers are compatible including Edge, Chrome, Firefox and Safari.

If you are not connected to a campus network (CUIMC wired, wireless, or VPN), you will also see a prompt to choose your Duo multifactor authentication (MFA) method for this sign in. Select one and approve the Duo method to confirm and complete your sign in; for more help see full steps for Using Duo with Email and Office 365.

Whiteboard App

The app can be installed on Windows computers, iPhone/iPad, and Android devices.

Windows Computers

Try these quick steps or see more detailed instructions further below.

  1. Open the Microsoft Store and select the cumc.columbia.edu tab at the top.
    NOTE: You must be signed in to the store with your CUIMC email account.
  2. Select the Microsoft Whiteboard tile, then the Install button.
  3. You will see a message on the installation's progress. When it is completed, click Launch to open and begin using Whiteboard.
    If prompted, sign in with your CUIMC email address and password.

Detailed Steps

    1. Click the profile icon in the upper rightMicrosoft Store with Profile icon and Add a work or school account option circled
    2. Select Add work or school account, then Continue, and sign in using your full CUIMC email address and its password.
      If you see an account signed in to the store's profile that is not your CUIMC email address, please sign it out and repeat the steps above to sign in with your CUIMC account.

  3. The store will show more details about Microsoft Whiteboard, click the Install button.
  4. You will see a message on the installation's progress. When it is completed, click Launch to open and begin using Whiteboard.
    If prompted, sign in with your CUIMC email address and password. If you are off campus you will also see a prompt to use Duo for multifactor authentication.

Mobile Devices - iPhone, iPad, Android

  1. Search for Microsoft Whiteboard in the App or Play Store, then follow prompts to install it.
  2. When opening the app, use your CUIMC email account and password to sign in.
  3. If you are off campus you will also see a prompt to use Duo for multifactor authentication.

Note that it may not be compatible with older or very small screen devices.

Create a Whiteboard in Teams

You can create a Whiteboard and set sharing and other options in a Teams channel, or during a Teams meeting. For more help see Microsoft's Use Whiteboard in Teams page.

  1. In a Teams channel, click the + (plus) icon in the upper right, then select the Whiteboard icon.Animation in Teams to create a Whiteboard
  2. Enter a name for the Whiteboard and click Save. The Whiteboard will appear in the channel in Teams; select any sharing and other options when prompted.Animation in Teams to name and share a new Whiteboard

Whiteboards created during a Teams meeting are still available after the meeting has ended. Note that if you are recording the Teams meeting, the Whiteboard will not be part of the recording. For details see Microsoft's Use Whiteboard in Teams page.

  1. While in a Teams meeting, click the Share content icon (up arrow) in the upper right.
  2. Select Microsoft Whiteboard from Share Content section that appears.
